This is what we are focused on here at Virtual as we wrap up 2023… In the wake of the COVID-19 pandemic, it’s evident that face-to-face meetings are making a triumphant return. Over the past few weeks, we’ve orchestrated member meetings, annual conferences, and workshops for our clients in all corners of the United States, in addition to cities across Africa, Asia, and Europe. As we continue to navigate this new landscape, several valuable lessons have come to light in the post-COVID era:

  • Broadcast It: Given the current state of reduced travel budgets for many companies, having a streaming option is now a necessity for larger events. We understand that some may hesitate, fearing it might deter in-person attendance. However, consider this: Have you ever watched a TED talk with an empty audience? Or attend a Super Bowl game with vacant stands? They still broadcast it, and so can you.
  • Beware of “Hybrid”: It’s important to distinguish between webcasting and “hybrid” events. While streaming is essentially a one-way communication, hybrid events involve two-way interaction. Proceed with caution when opting for hybrid events, as executing them effectively can be both costly and technically complex. We’ve successfully implemented hybrids for certain meetings, but it requires more than just a webcam and good intentions.
  • Embrace Networking Time: With people reacquainting themselves with in-person meetings after spending years in their attics and spare bedrooms, it’s crucial to allocate extra time for networking. This is what individuals have been yearning for, so don’t underestimate its significance.
  • Optimal Workspace: Remember the days of using pay phones to call the office from meetings? Well, those days are long gone, but video calls have taken their place. Providing a well-lit area with power sources can be a tremendous help to those needing to join video calls from your event.
  • Extended Planning Time: Many venues around the world are still operating with limited staff. What does this mean for you? It means that planning cycles may need to be extended since it can be more challenging to reach venue staff. Be prepared to give them extra time to respond to your needs, both before and during your event.
